EA to CEO
Top-Tier Investment Management firm is looking for an Executive Assistant for their CEO!
Responsibilities:
- Manage CEO’s phoneline, determine priority call-back list, record detailed messages, and log calls.
- Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Arranges travel and meetings by developing itineraries and agendas; scheduling commercial and/or private air transportation; booking other forms of transportation; arranging lodging and meeting accommodations.
- Liaison with IT to troubleshoot devices and systems.
- Schedule doctor appointments.
- Arrange travel, hotels, transportation, and other logistics for personal trips; prepare itineraries and coordinate reservations (hotels, cars, restaurant reservations, etc.)
- Liaison with art houses, galleries, and dealers for art viewing and purchase.
- Run errands such as dry cleaning or merchandise for family members, finding tickets to shows and events, booking shopping appointments and fittings, and withdrawing petty cash for the family.
- Liaise with other assistants to ensure that the proper personnel are included, and that the CEO has all the necessary marketing materials and itineraries for business trip.
- Plan ad hoc events as needed. Liaison with IT for AV needs, arrange gift bags, order, and set up catering, etc.
- Maintain and update extensive contacts list, mailing list, holiday gift mailing list, and files of companies which the CEO owns in his Funds.
Qualifications:
- Minimum 5-7 years of applicable C-level EA; PA experience is plus.
- Bachelor’s degree
- Ability to maintain strict confidentiality of highly sensitive financial, personal, and employee information.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
